The short version
- Put your application number (it starts W2627) on every page you send.
- Post everything on the checklist together, as photocopies.
- Get the declaration form signed by everyone it names. SUSI rejects incomplete declarations outright.
- English or Irish only. Anything else needs a certified translation.
- Can’t make the deadline on the letter? Tell the SUSI Support Desk before it passes.
SUSI reviews documents in the order they arrive. A checklist returned in two halves is only complete once the second half lands, and a missing item means a further request letter and another wait.
Income documents (Section F)
For 2026/27 everything is about income in the calendar year 2025. SUSI often receives Revenue data directly and only asks for paper when the figures need confirming. Most of what it wants can be downloaded from Revenue myAccount.
PAYE income in 2025
Accepted: Employment Detail Summary 2025 (formerly the P60), or a Statement of Earnings for 2025. Both come from Revenue myAccount.
A job that ended in 2025
Accepted: Confirmation of cessation, for example the 2025 Employment Detail Summary or a P45.
All income for the year
Accepted: Statement of Liability 2025 (formerly the P21), from Revenue myAccount. Every income line on it must also be backed by one of the documents above.
Student holiday earnings
Accepted: SUSI Holiday Earnings Form, completed and stamped by the employer. Only earnings outside term time are deducted, up to €8,830.
Self-employment or farming
Accepted: Full 2025 accounts (trading, profit and loss, capital account, balance sheet), an adjusted profit computation, and Revenue’s indicative calculation for your 2025 self-assessment.
Social welfare
Accepted: Usually nothing: SUSI gets this directly from the Department of Social Protection. If asked, a SUSI Social Welfare Statement completed and stamped at your local DSP office.
Income from abroad
Accepted: Official documents covering all of 1 January to 31 December 2025. For UK work that means the P60s for the tax years ending 5 April 2025 and 5 April 2026.
Not accepted: Foreign-language documents without a certified English or Irish translation.
CE, TUS, Rural Social Scheme
Accepted: SUSI Income from Designated Programmes Form, stamped.
One detail that catches people: pension contributions taken from salary before tax are already out of your gross pay, so you do not claim them again. Only contributions you paid directly yourself, within Revenue’s limits, are deducted, and SUSI wants a letter from the pension provider plus the 2025 Statement of Liability to show them. The full list of what counts and what is deducted is in the income thresholds guide.
Residence, independence and separation
These are the requests where people most often send the wrong thing. The rule SUSI applies is that a document must be connected with actually living at the address, not just receiving post there.
3 of the last 5 years in Ireland, the EU, EEA, UK or Switzerland
Accepted: At least one document per year: Leaving Cert or Junior Cert results, a letter from a school principal, utility bills (printed online bills are fine), bank or credit union statements with activity, Employment Detail Summaries, RTB registration, or letters from a state body such as the HSE, CAO, Revenue, An Post or the NCT.
Not accepted: Mobile phone bills, store card and catalogue statements.
Independent mature student: living away from parents
Accepted: Documents from the year before you start (dated no later than October) and from the year you start: an RTB registration letter, a local authority or RAS lease, a letter from a letting agent on headed paper, a HAP or Rent Supplement letter, or a landline, broadband, gas, electricity or bin bill in your name.
Not accepted: Private lease agreements, bank statements on their own, mobile bills, and anything that only shows a correspondence address.
Separation or divorce of parents
Accepted: Separation agreement, divorce decree, court maintenance order, a solicitor’s letter confirming separation or pending proceedings, a mediation letter (for example from the Legal Aid Board), or separate utility bills for the same 2025 period.
Not accepted: Affidavits, and mobile bills or bank statements on their own.
If you applied as an independent mature student and cannot produce the residence evidence, or realise you applied in the wrong class, SUSI lets you ask to re-apply as a dependent student. That request has to reach support@susi.ie within 30 days of the date on your letter. To count as an independent mature student you must be 23 or over on 1 January of the year you start or return to college.
Household, birth and nationality
Brother, sister or parent in college (raises your income limit)
Accepted: A stamped letter from their college confirming they are registered for 2026/27.
Not accepted: Letters saying they are provisionally registered or expected to register. SUSI notes this evidence may not exist until later in the year, so do not hold up the rest waiting for it.
Dependent children
Accepted: Long-form birth certificates (if born on the island of Ireland). For children 16 or over in full-time education, a stamped school or college letter.
Your own birth details
Accepted: A photocopy of your birth certificate, the long form if you were born in Ireland.
Nationality or immigration status
Accepted: Irish long-form birth certificate, passport, EU national ID card, naturalisation certificate, or your Department of Justice permission letter with both sides of your IRP card.
The sibling letter matters more than it looks. Each other family member in full-time college raises your household’s income limits by €4,950 or €4,785, depending on the band, which can move you up a whole band. The thresholds guide has a worked example. Because colleges only issue registration letters after registration, send the rest of your checklist first and the sibling letter as soon as it exists.
The letters that are not about documents
Two checklist codes are easy to misread:
- Z11 and Z12, date of birth or PPS mismatch. SUSI could not match a date of birth and PPS number for you or someone on your form with Social Protection records. First check the details under My Details, Parties to Application in the portal. If they are right, the person needs a SAFE registration appointment with the Department of Social Protection, then an email to support@susi.ie. Nothing else moves until this is fixed.
- Z10, bank details. Not a document at all. Log in to the portal and enter your IBAN. Bank details can only be added once an application is submitted, and a new application (a new W2627 number) needs them entered again even if SUSI paid you last year.
After you send them
The application tracker in the portal shows when documents are received. If something is missing or new information comes up, SUSI sends a further request. When nothing is outstanding you get an award or refusal letter. What each stage in the portal means is in our status guide, and if the decision looks wrong, the appeal guide covers the 30-day limit.
While you wait, put your 2025 household income into the student grant calculator to see which band you should land in, so you can spot a mistake in the award letter straight away.
Frequently asked questions
Does SUSI need original documents?
No. SUSI asks for photocopies of the originals. Keep the originals at home. Documents must be in English or Irish; anything else needs a certified translation.
Why is SUSI asking me for documents when it already has my PPS number?
SUSI checks most details through data sharing with other government departments, including Revenue and Social Protection. It only writes to you for the items it could not confirm that way, so two families with similar incomes can get very different checklists.
How long do I have to send SUSI documents?
The deadline is printed on your checklist letter. If you cannot get a document in time, contact the SUSI Support Desk before the deadline rather than after it. Applications are reviewed in the order documents arrive, so a late or partial reply pushes your decision back.
Does SUSI accept a mobile phone bill as proof of address?
No. SUSI lists landline, fixed broadband, gas, electricity, cable or satellite TV, heating and bin bills, mortgage statements and Local Property Tax letters, but excludes mobile phone bills in every section of its guide.
My parents are separated. What does SUSI accept?
A separation agreement, divorce decree, court maintenance order, a solicitor’s letter that confirms the separation or pending proceedings, a family mediation letter, or proof of living apart such as separate utility bills for the same 2025 period. SUSI does not accept affidavits for this.
